Registrar 2008 Report

Introduction

 The office of College Registrar is still committed to its vision namely to be a respected central administration of the College known for timely support services and excellent performance. Cognizant with this vision, the office performed numerous support activities in the College in 2008 to ensure that all planned activities of the College are translated into reality.

 PLANNED ACTIVITIES

 In the 2007 annual report from the office, we set out to achieve the following alongside the day to day administrative support;

  • Computerization of students and staff records systems.
  • Introduction of an Estate Management office
  • Outsourcing of security and maintenance  services
  • Managing of car parking facility
  • Benchmarking our administrative support with other medical schools

 The office was able to achieve 65% of the planned activities in the year. Specifically the following  activities were performed:

  • Implementation of the Students Administration and Registration information system.(SARIS). The system was procured from Zalongwa Technologies in Tanzania. It is currently being implemented in almost all Universities in Tanzania and Kenya. The system would allow the College to manage the placement of students, manage students academic records, perform the billing function as well as manage the accommodation. The modules that will immediately be introduced in 2009 are the admission module and the billing module.
  • Outsourcing of security and maintenance services. Alongside all University of Malawi colleges, the security services and ground maintenance services were outsourced in July 2008. As a result of this a total of 36 fulltime and temporary staff were retrenched. Funding for the retrenchment were provided by government through University Central office
  • Managing car parking. The growth of the college in number of students and research activities brought with it the huge demand for car parking. It became a management issue because it was virtually difficult to find parking space especially for staff who would normally find all parking space full by the time they come to work. The registrar’s office strategically assigned parking space for all key members of staff. This reduced the congestion as well as allowing that staff are not inconvenienced during working hours.
  • Benchmarking administrative support service. The office is currently working with St Andrews University specifically in the students registry system. It is hoped that in the next year, we will focus on the other areas of Human Resource support system in order to enhance the timely delivery of HR support to staff.

 On top of the above, the office of the Registrar continued to provide the usual administrative and managerial support to all faculty‘s activities.

 SECTION IN THE REGISTRARS OFFICE

 Transport

 The College procured six more new vehicles in the 2008 academic year. As a result of these new vehicles, all vehicles older than six years old were recommended for boarding off. This move was meant to reduce maintenance costs as most cars had outlived their life span as utility vehicles. The staff in the transport are;

HOSTELS

 The College hostels were named and the total number of bed space increased to 520 following the completion of 2 hostels funded through Norway /Sweden. The opening of the hostels by the State President Ngwazi, Dr Bingu wa Mutharika on 25th June 2008  was a ceremony of celebration for all students and staff.  Catering

 The new refurbished cafeteria has more room and has modern facilities for meal preparations. In the year under review, the College experience fewer problems in this area compared to the former years. However pilferage of cutlery still remains a challenge.

 Security

 The college outsourced security services effective 1st July 2008. A private firm was awarded the contract. However the college maintained 3 members of staff to act as liaison officers. The remaining staff are:

 Maintenance

 The ground maintenance was outsourced as well to a private firm. The college however has two members of staff on maintenance list namely Mr Perenje and Mr Basikolo who are electrician and plumber respectively.

 2009 PLANS

 The following activities are planned for 2009 year:

  • Computerization of human resource management systems
  • Introduction of electronic security cards for access into College
  • Phase II outsourcing of Catering services
  • Establishing of new students registry office
  • Creating of the college central archiving office

 CONCLUSION
