ADMINISTRATIVE ASSISTANT – 1 POST

MAC is a research institution under the College of Medicine focused on conducting operational research studies, monitoring and evaluation, building capacity of health workers in communicable diseases, including training for malaria prevention and control activities and in Malawi.  We are currently seeking young and energetic Malawians to fill various posts within the ICEMR (International Centre of Excellence in Malaria Research) research projects.

Initial contract is for two years with possibility of further extension for both posts based on performance and availability of funding.

SUMMARY

Perform a wide range of administrative and office support activities for the ICEMR projects to facilitate their efficient operations

DUTIES AND RESPONSIBILITIES:

  • Administering and managing petty cash payments.
  • Managing the filing system of all project documents.
  • Support the Administrative manager to process all correspondence and reports between partners and the College of Medicine.
  • Support Administrative manager in implementing procurement plans through collection of price quotations and compiling purchase requisitions.
  • Support the Administrative manager in ensuring timely payment of suppliers.
  • Assist the Administrative manager in budget development and monitoring of expenditure.
  • Inventory control of all procured project supplies.
  • Tracking of project payments and compiling monthly expenditure reports.
  • Reconciliation of all payments made against the approved purchase requisitions.

EXPERIENCE, COMPETENCIES AND EDUCATION:

Applicants must possess the following:

  • A minimum of MSCE or its equivalent.
  • Certificate in Business Administration will be an added advantage.
  • Computer literacy with thorough knowledge of word, excel, power point and able to use internet and e-mail.
  • Must be prepared to work odd hours when required and with minimum supervision.
  • Highly effective in analyzing, organizing, prioritizing and coordinating work.
  • Good communication skills

REMUNERATION:

The position will attract a salary with benefits commensurate with experience and qualifications as applicable to contract staff in the College of Medicine. COM is an equal opportunity employer.
